Plans, data and the awkward bits

When something goes wrong

The problems that actually come up on a dock, and what to do about each one.

The photo will not read

Retry it first; slips that failed once often read on a second attempt with a steadier photo. If it still will not, pick the purchase order and type the quantities. A failed photo never blocks a delivery, and the record that results is identical.

The photo is refused as too big

Photos over 12MB are declined. Phones set to their highest resolution occasionally produce these. Take it again slightly further back, or lower the camera resolution.

The order is not in the list

Either it was never added, or it has been fully received and closed. Check the purchase orders page. If goods have genuinely arrived against a closed order, that is worth a conversation with the supplier before you record anything.

Lines came back as not on the PO

The supplier’s part numbers are far enough from yours that all three matching attempts failed. Set the quantities by hand this time and carry on. If the same supplier does it to you every single delivery, email us and tell us which supplier, because that is something we can fix at our end rather than leaving you to work around.

The wrong person is on a delivery

Somebody was signed in on the shared terminal. Sign out when you walk away. A confirmed delivery keeps its name, deliberately.

A quantity was confirmed wrong

Confirmed quantities are fixed, because a receiving log that can be edited afterwards is not evidence. Record what happened next as a resolution on the line, with a note.

Nothing arrived in purchasing’s inbox

Check the plan first: summary emails start on Business. Then check the addresses in settings. Then the spam folder, which is where a new sender usually lands the first time.

Still stuck

Write to us. There is no ticket queue and no bot in front of it, and the reply comes from somebody who can change the software.

Did this page miss something?

If you came here with a question and left without the answer, that is a fault in the page rather than in the question. Tell us what you were trying to do and we will write it up, usually the same week.
