Answers to the usual questions

When an order arrives in pieces

What to do when a supplier sends half now and half later, and how to see what is still owed.

Suppliers split orders all the time. Forty of the fifty today, ten to follow. You do not need to do anything special for this, and you should not wait for the rest before recording anything.

  1. 1
Receive what actually turned up today, against the same order.
  2. 2
Confirm it. The order stays open, holding only what is still owed.
  3. 3
When the rest arrives, receive against that same order again. This time it closes on its own.

You should see

After the first delivery, the order shows as Part received in your orders list, with a bar showing how much has landed. That is your reminder that something is still owed.

Put another way

A pub tab. You are not settling up, you are recording what has gone on it so far, and the total left to pay updates itself.

Why the second delivery says complete

Each delivery is judged against what the order was still waiting for, not against the original quantity. So ten arriving against ten outstanding is complete, even though the order was for fifty. That is the honest answer to “did this drop turn up in full”.

Worth knowing

If the supplier never sends the rest, the order simply stays open. Reports has an overdue orders list, which is where forgotten remainders show up.
