Import orders from a spreadsheet

The exact columns the CSV importer accepts, and what it does with each row.

If you already hold your orders somewhere else, you do not have to retype them. Export them as a CSV file and bring that across instead. Put one row per order line; where several rows share a PO number they become one order with several lines on it.

The columns it looks for

Column names are read loosely: capital letters, spaces and punctuation are ignored, so PO Number, po_number and ponumber are all the same column. Each row below lists every heading accepted for that field.

NeededAccepted headings
Yespo number, po, order number, order
Yesvendor, vendor name, supplier
Yessku, item, item number, part number, part
Yesqty, quantity, qty ordered, quantity ordered
Optionaldescription, desc, item description
Optionalunit, uom
Optionalunit cost, cost, price

What a file looks like

po_number,vendor,sku,description,qty,unit_cost
10421,ABC Supplies,BRK-114,Bracket 114mm,50,2.40
10421,ABC Supplies,BLT-M8,Bolt M8 x 40,200,0.11
10422,Northgate Steel,SHT-3MM,Sheet 3mm mild steel,12,18.50

Put another way

Like handing over a written order at a trade counter instead of reading it out item by item. Same order, far less talking.

Limits and mistakes

  • Files up to 2MB. A bigger export needs splitting in two.
  • A header row is required. A file with headings and no rows is refused.
  • Missing a required column stops the whole import and names what was missing, rather than importing half of it.
  • Vendors are created as needed, so you do not have to add suppliers first.

Worth knowing

Only an admin can import. If the button is not there, ask whoever set the account up.
